Engagement

December. Annual, calendar-year engagements sent and agreed upon.

January. Payment for services collected. Personalized tax information requests sent. Portal access for clients and advisors to securely upload tax information.

Preparation & review

February through April. Returns prepared and delivered for client sign-off. Detailed email explaining each tax return and related action items; financial advisor copied to ensure coordination. Estimated tax payments scheduled.

Year-end planning

Fall. Year-end planning conversation. Review income, assets, and estate intentions. Set multi-year tax plan as appropriate. Coordinate with other advisors to ensure plans are executed.

Working with the firm

01What's the fastest way to reach us?+

An email is often the fastest way to reach us. Calls work too, though it can be more difficult to give a complete answer. For anything time-sensitive - a closing date, an IRS notice, a wire deadline - flag it in the subject line and we'll do our best to address it as quickly as possible. Please note the scope and frequency of access depends on your agreed-upon service level.

02When will I hear back after I send a message?+

During most of the year, we typically respond within one to two business days. From mid-February through April 15, responses may take longer as we work through returns. We will work to respond ASAP to urgent items flagged in the subject line. Response cadence also depends on your agreed-upon service level.

03Can my financial advisor or attorney be looped in?+

Yes. With your written authorization, we're glad to coordinate directly with your financial advisor, attorney, or other professionals. Send us their contact information by email and let us know the scope you'd like them included in.

04Who on the team will I be working with?+

We're a small firm by design, and you'll work directly with Kyle and Tom on your engagement. Most clients work only with Kyle. There's no handoff to a junior preparer you've never met - the person reviewing your return is the same person you'll email with questions.

Documents & the portal

01How do I access the client portal?+

Use the "Client portal sign-in" button at the top of any page, or go directly to weselycpas.clientportal.com. If you've lost your login, use the "Forgot your password?" link below the portal login credentials.

02How do I send documents securely?+

Upload directly to the client portal via the blue 'Add a file' button at the bottom of the Files tab. Please avoid emailing tax documents, K-1s, or anything with a full Social Security number - the portal is encrypted end to end and keeps everything organized in one place for future reference. Email is NOT a secure means of sending sensitive information.

03Do you have a mobile app?+

Yes. The client portal is available as a mobile app for both iOS and Android. Download it below, then sign in with your usual portal credentials.

04How can I send a paper document if I don't have a scanner?+

Use the Canopy Client Portal mobile app. It has a built-in document scanner that captures paper documents with your phone's camera, cleans up the image, and combines multiple pages into a single PDF that uploads straight into your portal Files - no separate scanner or scanning app needed. In the app, open Files, tap the add button, and choose the scan option.

05How long do you keep my documents in the portal?+

Documents uploaded to the portal remain available for the duration of our engagement and are retained per our record retention policy. We recommend downloading and saving copies of signed returns and key supporting documents for your own records as well.

06Can I download prior-year returns myself?+

Yes. Copies of prior-year returns we have on-file are available in your portal Files. Sign in, open the Files tab, and browse by tax year.

07Do I need to send you documents you already have?+

No, however, if you're unsure whether we already have something, send it along and we'll sort it out.

Billing & engagement

01When and how am I billed?+

Engagements are on an annual and calendar-year basis. Fees are agreed upon in December when the engagement letter is signed, and invoiced on January 1st. New clients joining us mid-year will be invoiced when the engagement letter is signed. Payment is made through our engagement system. Electronic payment is required in most situations, though payment by check is an option for trusts.

02What if my situation changes mid-year?+

Let us know. A new job, sale of a business or property, inheritance, marriage, or move to another state can all shift your tax picture and are worth a conversation before year-end. Depending on the scope, an adjustment to your previously agreed-upon service level may be appropriate.

03Can I change my service level?+

Yes. Service levels are set annually with the engagement letter and can be adjusted at renewal, or mid-year if circumstances warrant. Send us an email and we'll walk through the options.

Tax mechanics

01How do I make an estimated tax payment?+

We schedule electronic estimated payments on clients' behalf as part of our tax return delivery process. If making payments on your own, Federal payments can be made electronically through IRS Direct Pay, and most states offer a similar portal. If you'd like us to walk you through it, send us an email.

If you do schedule a payment on your own, please be sure to save a copy of the confirmation and upload it to your client portal.

02I got an IRS or state notice - what should I do?+

Don't panic, and don't respond directly. Upload the notice to the portal - front and back, all pages - and send us an email to let us know. Most notices are routine and resolvable, but many are time-sensitive, so please forward it promptly. Your agreed-upon service level will determine whether there is a cost for drafting and coordinating a proper response.

03When should I expect my K-1s and other trust documents?+

If you receive a K-1 from a trust tax filing we prepare, you can expect to receive the K-1 within 1-4 weeks of us receiving complete information. Please note K-1s cannot be completed until the source tax filing is completed. Upon receiving complete information, our turnaround time is guided by the agreed-upon service level.

Life events & planning

01I'm considering a charitable gift or CRT - when should I bring it up?+

Sooner is better. Charitable strategies - especially CRTs and other large gifts - benefit from lead time to coordinate your financial advisor, attorney, and other professionals. Send us a message when the idea is forming, not after documents are signed.

02Do you help with trust or estate income tax filings after a death in the family?+

Yes. We prepare fiduciary income tax returns (Form 1041) for our individual tax clients, and coordinate with the trustee and attorney on final individual returns. We do not file estate tax returns, which are based on the assets of the estate, and we're happy to provide a referral for those filings. We do file estate income tax returns, which are based on the taxable income of the estate.
